SPECIAL COMIC-CON PLANNING MEETING -- Minutes:


July 19, 2002

At Studio 106, prior to our Mars Movie Night.

In attendance: Jonathan Butler, Shannon Rupert-Robles, Tim Sommer, Dave Rankin, John Stone and Gerry Williams.


COMIC-CON FAN TABLE

On July 15th, Comic-Con has agreed to give The Mars Society - San Diego a fan table. They're supposed to send us information regarding it, but we have not received anything to date.

A fan table will let us put up a display and have a place for flyers and business cards. It also gives us a central meeting place that we can meet and talk to other people about what we're doing.

We've decided to design this table to be mostly unattended during the Con, but also allow any of our members to "man" it for a more hands-on public outreach. Tim has volunteered to be our principal contact at the table. We'll set up an informal crew rotation list for booth coverage.

Gerry will head the booth design: a foamcore backdrop with pictures from FMARS, MDRS and EuroMARS and chapter information, similar to what we're showing at our "Stars in the Park" outreach. If there is any electrical power nearby, a computer can be set up under the table to drive a monitor on top of the table, which will continually loop some of our PowerPoint presentations on the MDRS.

Gerry is also redesigning our flyers, and will generate some business cards, too. The flyers will be similar in design to what we now have, but updated on one side to describe our local chapter and its activities, while the other side will beat the drum on our two Comic-Con panels. The business cards, in addition to being a smaller handout for our chapter's web sites, can also double as TMS-SD Name Badges during the Con for our panels and fan table.


"MARS ANALOG RESEARCH STATIONS (MARS)" PANEL

When: Friday, August 2, 2002 at 12:30pm to 2:00pm in Room 7B.

Our guests to date will be our own chapter's members: Dave Rankin will moderate the panel, Gerry Williams and Shannon Rupert-Robles will talk about their time at the Hab, and Jonathan Butler will discuss MDRS Mission Support. Gerry will find out from Andrew Salamon, Kelly Jernigan, Groff Bittner and Gilbert Ikezaki whether they'll be able to participate in this panel. Tim Sommer will be providing audio-visual support, and Rich Loesch will be videotaping the panel for us again this year. Shannon is asking The Mars Society for any other members who were at MDRS if they'd be at the convention, and if they'd like to participate on the panel.

The panel's structure will be a 10-minute PowerPoint introduction to The Mars Society and our San Diego Chapter, then Dave will make introductions all around and discuss the Mission design of MDRS. Shannon and Gerry will discuss their experiences (with multimedia) at the Hab, and Jonathan (and any others) will talk about Mission Support for MDRS. We'll wrap up with a Question and Answer session with the audience.


"MARS: PAST, PRESENT AND FUTURE PANEL

When: Sunday, August 4, 2002 at 11:00am to 12:30pm in Room 7B.

Our confirmed Guests at this time are: LARRY NIVEN, author of "Rainbow Mars" and "Ringworld" (among others); futurist JOHN CARTER MCKNIGHT who pens "The Spacefaring Web"; from Malin Space Science Systems, Mars Orbital Camera project scientist DR. MICHAEL CAPLINGER; SpaceDev's founder JAMES W. BENSON; and "Climbing Olympus" and Star Trek/Star Wars writer KEVIN J. ANDERSON. Dave will moderate the panel. Gerry will be providing audio-visual support, and Rich Loesch will be videotaping the panel for us again.

At this point in time, there may be additions to the panel, but none are confirmed. With the panel this full, we don't need any more guests. However we will be flexible and attempt to accommodate anyone else that has already been asked.

Since we'll be the first panel in this room for the day, we'll be running our PowerPoint introduction to The Mars Society and our San Diego Chapter before the panel starts. Dave will make introductions all around and we'll give each panelist 5-10 minutes (with multimedia support). We'll then let them do a panel discussion, and eventually get to questions from the audience.


GENERAL NOTES

Since our room has been moved this year from the Mezzanine Level of Obscurity to Room 7B, across from all the main event halls, we talked briefly about having some kind of quick display we could set up outside the meeting room to draw people into our panels. The MDRS spacesuit would be ideal, but Shannon has been stonewalled so far in her attempts to obtain one -- she's planning an end-run in a last-ditch attempt to acquire one for Comic-Con. Other ideas would be to use Jonathan's Mars Society flag, people standing around outside with Mars globes, and some temporary (but large) signage. Any other ideas would be appreciated.

We'll be having one more Special Comic-Con Planning Meeting on Sunday, July 28th at 6:30pm at Studio 106 to nail everything down. NOTE: We are looking into possibly having this meeting online through The Mars Society's Chapters Council website Chat Room -- details will follow if we do decide to move this meeting online.
